Triggering Approval When Reps Edit Terms & Conditions – Simple Workaround

I wanted to share a practical workaround we’re using in DealHub to trigger an approval when a sales rep edits the Terms & Conditions.

Use Case

We want approvals to trigger only if the rep modifies the standard Terms & Conditions, but not when they leave them as-is.

Solution Overview

The idea is to compare a hidden β€œstandard” version of the terms with an editable version that the rep sees.

Setup Steps

  1. Create a hidden question

    • This question contains the default / standard Terms & Conditions text.

    • It is hidden from the seller and always holds the approved baseline terms.

  2. Create an editable question for the seller

    • This question contains the same default Terms & Conditions text.

    • It is visible to the seller and can be edited if needed.

  3. Approval Rule Logic

    • Configure the workflow rule to trigger an approval when:
      Standard Terms (hidden question) β‰  Editable Terms (seller-facing question)

Result

  • If the rep leaves the terms unchanged β†’ no approval is triggered

  • If the rep edits the Terms & Conditions β†’ approval is automatically required

This approach allows flexibility for sales while still maintaining control and governance over contractual language.
